CONFIDENTIALITY POLICY
Confidentiality Policy for Employees, Volunteers and Board Members Respecting the privacy of our participants, donors, members, staff, volunteers and of Saahas for Cause itself is a basic value of Saahas for Cause.
Personal and financial information is confidential and should not be disclosed or discussed with anyone without permission or authorization from the Executive Director. Care shall also be taken to ensure that unauthorized individuals do not overhear any discussion of confidential information and that documents containing confidential information are not left in the open or inadvertently shared. Employees, volunteers and board members of Saahas for Cause may be exposed to information which is confidential and/or privileged and proprietary in nature. It is the policy of SAAHAS for cause that such information must be kept confidential both during and after employment or volunteer service. Staff and volunteers, including board members, are expected to return materials containing privileged or confidential information at the time of separation from employment or expiration of service.
1. All Participant and prospective participant information on file with Saahas for Cause shall be confidential. The access to information regarding a participant shall be strictly controlled and any violation of such shall be considered a breach of participant confidentiality and shall be considered grounds for immediate dismissal of employment or service with Saahas for Cause This confidentiality policy shall apply to all individuals who may have contact with participants or access to information regarding participants, and any
other sensitive information that would potentially danger the participants.
2. Board members shall not disclose to anyone not affiliated with Saahas for Cause the statements, positions, or votes of the Board. Only in extraordinary situations will any Board member disclose his or her position or vote and only after advising the Board’s chair before making such a disclosure.
3. Consensus of the Board on a particular matter may be conveyed to an applicant, grantee, vendor, or donor when the sharing of such information is helpful in conveying the Board’s concerns. However, such information should only be shared with the concerned party. In addition, such information may be shared with a donor or with another grantmaker when the information has been requested and is deemed
important in helping the donor or grantmaker arrive at an informed decision on a grant proposal or opportunity.
4. Any Personal Information such as name, address, telephone number, fax number, and e-mail address of the Board members are not to be given out to any individual or organization without the written approval of the person concerned.
Certification: I have read Saahas for Cause s policy on confidentiality and the Statement of Confidentiality presented above. I agree to abide by the requirements of the policy and inform my supervisor immediately if I believe any violation (unintentional or otherwise) of the policy has occurred. I understand that violation of this policy will lead to disciplinary action, up to and including termination of my service with Saahas for Cause.
Media Consent
I grant permission to Saahas for Cause organization, the irrevocable and unrestricted right to reproduce the photographs and/or video images taken of me, for the purpose of publication, promotion, illustration, advertising, or trade, in any manner or in any medium. I hereby release Saahas for Cause and its legal representatives from all claims and liability relating to said images or video. Furthermore, I grant permission to use my statements that were given during an interview or guest lecture, with or without my name, for the purpose of advertising and publicity without restriction. I waive my right to any compensation.
